Members and teams

Members in the sidebar. The people on your account, what they may do, and what they may see.

Adding somebody

  1. Go to Members → Add Member.
  2. Enter their name and the email address they will sign in with.
  3. Set their clearance level.
  4. Choose the tracker groups they may see.
  5. Save. They are invited on that address.

The email address is the identity

Trackapt matches somebody to their membership by email address. Invite them on the address they will actually sign in with — a different one creates a different identity that is not attached to your organisation, and they will see nothing.

Clearance

Level 1 to Level 6, or Admin. Levels are cumulative: Level 3 can do everything Levels 1 and 2 can.

Clearance decides what kind of action somebody may take. See Who can do what for the full picture, and each module's page for the levels its own actions need.

Clearance is not access

Raising somebody's level does not show them any more data. What they can see is the whitelist, below.

The tracker group whitelist

The list of tracker groups a member may see. It is the real access control, and it cascades: every screen in the app — modules included — honours it.

This is the setting to change when somebody says they cannot see something.

Supervisors, for attendance

The time and attendance module does not use the whitelist, because it works on people rather than items. Access there comes from being named as a worker's supervisor, on the worker record in Attendance → Workers.

A foreman who cannot see their crew has not been named on those records, and no amount of clearance will fix it.

When several people share one login

A workshop, a gatehouse or a weighbridge office is often one login used by a dozen people through the day — and by default everything they file carries the login's name rather than theirs.

Mark that member as a shared station and each person checks in with their own PIN, so their own name appears on whatever they sign. See Shared stations.

My Team

My Team shows the people you are responsible for, rather than everybody on the account.

The account holder

The account holder is the person the account belongs to. They can reach everything, including billing, modules and the members list.

This is a single identity, not a clearance level. Some things are deliberately reserved to it — deleting an approved entry, for example — and Admin clearance does not qualify.

Who may author forms

Worth knowing when somebody says they cannot edit a form they expected to.

Form templates are authored by the account holder and by the people named on the form: its authorised signers, its additional approvers, its approval-stage approvers, the department's Level 6 members, and the department's head.

Clearance alone grants nothing on a form you are not named on. See Building a template.

Removing somebody

Remove them from the members list. Everything they recorded stays — entries, readings, sales, approvals — because a record of who did what is the point of keeping it.
